An art services firm is looking for a courteous, dependable, and professional individual to provide support to the owner and office manager. The role involves a variety of administrative and operational tasks.

Key Responsibilities

  • Manage phone communications, including answering calls, recording messages, and returning calls.
  • Screen and respond to emails.
  • Assist with social media content management for platforms such as Instagram and Facebook.
  • Prepare outgoing mail and generate invoices using QuickBooks.
  • Address basic computer and printer issues.
  • Monitor and replenish office and kitchen supplies, including snacks and bathroom necessities.
  • Track job-related billing and payments.
  • Organize and file documents including receipts, orders, and timesheets.
  • Offer general secretarial and administrative support to the office manager.

Required Experience and Qualifications

  • A minimum of three years of relevant experience is preferred.
  • Strong organizational abilities are essential.
  • Proficiency with Google Calendar and Google Docs.
  • Prior experience using QuickBooks.
  • Excellent written and verbal communication skills.
  • Ability to work effectively as part of a team.
  • Capable of lifting packages weighing 20 to 30 pounds.
  • Skilled at multitasking and willing to assume additional duties as needed.

The work schedule is flexible, requiring 4 to 5 days per week. Hours are from 10:00 AM to 5:00 PM. Both full-time and part-time arrangements will be considered, and specific days can be negotiated with the successful candidate.
