Our client, a prominent international law firm, is seeking to fill a direct hire position for an Office Services Specialist to provide support at its Century City office in Los Angeles. This role requires on-site presence five days per week and may involve overtime to assist with after-hours work events or client functions.

Employment Details

This is a full-time, direct hire position. The standard schedule is Monday through Friday, from 9:00 AM to 5:30 PM Pacific Time. The role is based on-site five days a week. On-site parking is provided. Overtime may be required, and the position is classified as non-exempt.

Compensation

The annual salary range is $47,000 to $67,000. This is complemented by a full benefits package.

Key Responsibilities

  • Manage front desk reception duties, including screening, forwarding, and handling messages on a multi-line phone system.
  • Greet and direct guests, internal staff, and team members to the appropriate offices, conference rooms, or departments. Facilitate visitor registration and badging upon arrival and departure.
  • Provide concierge-level support for office conference rooms. This involves scheduling rooms, arranging catering, coordinating room setup, and managing audio/visual equipment using the internal EMS system.
  • Assist staff and clients with special requests for services such as transportation, restaurant reservations, travel, and lodging arrangements.
  • Collaborate with building security to maintain an active visitor list, manage badging details, and ensure continuity with facilities personnel.
  • Restock inventory of refreshments, snacks, and office supplies as necessary.
  • Process and submit invoices related to office services, expense reimbursements, and time entries as required.
  • Perform administrative tasks as they arise, including filing, mail screening, and providing database support.

Required Qualifications

  • A minimum of two years of experience in reception, office services, or an administrative role is expected. Experience within a professional services industry is strongly preferred.
  • Candidates must exhibit outstanding interpersonal and communication skills, both in person and over the telephone.
  • Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint) is required, along with a readiness to learn new software and systems.
  • The ability to perform effectively in a fast-paced office setting is essential.
