Are you searching for a highly skilled professional to fill the role of Executive Assistant and Property Manager? This individual must excel at managing complex schedules, travel arrangements, and property oversight while ensuring seamless operations. An exciting opportunity is now available to serve as the Executive Assistant and Property Manager for a CEO and Founder.

This position is based on-site in West Hollywood, California, and is structured as an initial contract role with the potential to transition to permanent employment. You will become part of a vibrant team focused on delivering exceptional touring and content production projects.

Executive Assistant Responsibilities

  • Oversee intricate daily operations for the CEO and Founder.
  • Act as the primary contact and gatekeeper for all communications, including email, phone calls, and scheduling.
  • Supervise and facilitate hiring, onboarding, and HR coordination for contractors and employees.
  • Manage confidential correspondence and documents with the utmost discretion.
  • Maintain demanding and frequently changing personal and business calendars.
  • Monitor action items, record meeting minutes, and ensure follow-through on tasks.
  • Coordinate podcast guest appearances, book studio rentals, and assist with media production logistics.
  • Prepare contracts, invoices, and tax documents while ensuring payments are processed promptly.
  • Administer both digital and physical filing systems.
  • Arrange business meetings, dinners, personal appointments, and reservations.
  • Delegate or complete personal errands such as shopping, car maintenance, returns, and shipping.
  • Review and reconcile business credit card statements and payroll records.

Property Management Responsibilities

  • Supervise staff across multiple properties, including a primary residence, office, and investment property.
  • Coordinate with vendors for repairs, maintenance, and property improvements.
  • Ensure all properties are fully stocked, secure, and operating efficiently at all times.
  • Manage the procurement of insurance policies, certificates, permits, and utility services.
  • Track and maintain budgets for household and property-related expenditures.
  • Serve as the liaison for cleaning, landscaping, security, and other third-party service providers.

Requirements

  • Minimum of three years of experience supporting a CEO, senior executive, or founder, with a preference for backgrounds in the entertainment industry.
  • Previous experience in residential or commercial property management is a significant advantage.
  • Exceptional attention to detail and the capacity to manage evolving priorities and deadlines.
  • Demonstrated proficiency in managing dynamic calendars and arranging domestic and international travel.
  • Professional, discreet, and emotionally intelligent communication style.
  • Strong organizational, time management, and problem-solving abilities.
  • Proficiency with Apple products and Microsoft Office Suite, including Outlook, Excel, and Word.
  • Familiarity with the following tools:
    1. Google Drive and Calendar
    2. ADP Payroll
    3. Airtable, Notion, and Basecamp
    4. 1Password, Zoom, and ChatGPT

Location: This is an on-site position in West Hollywood, CA, and is not available for remote work.

The role is available to start immediately. It is a temporary-to-permanent position, beginning as a part-time 1099 contract. A trial period of 60 to 90 days will include formal evaluations at the 30-day and 60-day marks.
