Customer Service Representative in Downey, California
About This Job
The primary function of the Customer Service Representative is to oversee incoming customer leads from initial contact through to job activation and final completion, including customer billing. This role involves close collaboration with the Production department to keep the work-in-progress tracking board current and to verify daily documentation for all project files. The representative will also examine project scopes, estimates, and file records to confirm compliance with all program specifications and to guarantee that all completed work is billed correctly.
Key Duties
- Oversee project file status to confirm the precision of all related documentation on a daily basis.
- Engage in daily communication with Production teams to ensure all necessary documentation is gathered at the job site when tasks are performed.
- Generate and evaluate estimates using the defined scope and photographs supplied by the Production team.
- Keep an up-to-date Work in Progress board for all active leads and projects.
- Oversee and verify adherence to all client specifications.
- Manage communications, both internal and external, with all relevant parties.
- Assess timestamps and additional data points to ensure reporting and key performance metrics are accurate.
- Finalize and inspect job file documentation for ultimate submission and the audit procedure.
- Conduct internal audits of all projects to confirm estimates encompass all work executed.
- Execute all project closure duties, which includes working with the accounting department to ensure accurate invoicing.
- Provide support to other departments as required.
- Contact and inform clients and insurance adjusters regarding the status and developments of each project.
- Collaborate closely with the billing department to facilitate payment collection.
- Ensure all necessary documents are signed by the client.
Qualifications and Background
- A high school diploma or GED is mandatory.
- Prior experience in an office or estimating role is advantageous.
- Superior customer service capabilities, strong organizational skills, and excellent verbal and written communication are essential.
- Competence in utilizing various digital tools and technologies to perform job duties effectively.
- Background in the restoration, construction, or insurance fields is beneficial.
Physical and Workplace Conditions
This is primarily a sedentary office-based position. Certain filing tasks may necessitate lifting files, accessing filing cabinets, and bending or using a step stool as needed.
Standard Schedule
This is a full-time role. Working hours typically fall between 8:00 a.m. and 5:00 p.m., Monday through Friday.
