This is a full-time, Monday through Friday role based at the Global Processing Systems, Inc. office in La Verne, California. This is not a remote position. Candidates must possess a minimum of one year of experience as an Executive Personal Assistant. Experience as a family or household assistant does not meet this requirement.

Job Summary

We are looking for a highly energetic, organized, and proactive Executive Personal Assistant to provide comprehensive support to our dynamic CEO in both professional and personal capacities. This position demands a detail-oriented professional who can adapt to a fast-paced environment. The ideal candidate will be technologically proficient, articulate, thorough, and comfortable handling administrative duties, personal errands, and collaborating with the CEO and staff. This is an onsite, full-time role from Monday to Friday at our La Verne office. Remote work is not available. A minimum of one year of consecutive Executive Personal Assistant experience is mandatory. Family assistant experience is not applicable.

Primary Duties and Responsibilities

  • Manage and maintain the CEO\'s calendar.
  • Plan, coordinate, and ensure adherence to the CEO\'s schedule, acting as a gatekeeper for their time and managing all communications including calls, emails, and correspondence.
  • Assist in coordinating and participating in social events.
  • Arrange travel and accompany the CEO on trips as needed.
  • Attend executive meetings to take notes and track action items.
  • Serve as a point of contact for vendors and employees, acting as a buffer for the CEO.
  • Assist with personal tasks and special projects.
  • Monitor, respond to, and prioritize the CEO\'s email correspondence.
  • Run errands both within and outside the office.
  • Organize and streamline the daily schedule.
  • Multitask and effectively prioritize a dynamic workload.
  • Handle confidential information with the utmost discretion and trustworthiness.
  • Compose grammatically correct correspondence.
  • Edit and post content to the CEO\'s social media accounts.
  • Assist with public relations efforts and press releases.
  • Complete miscellaneous tasks as assigned.

Qualifications

  • Exceptional time management and prioritization skills.
  • Strong organizational and multitasking abilities.
  • Must have reliable transportation, a valid driver\'s license, auto insurance, and a clean driving record.
  • Minimum of one year of consecutive work experience supporting a high-level business executive.
  • Excellent written and verbal communication skills.
  • Proven experience managing travel arrangements and complex calendars.
  • Willingness and ability to run errands.
  • Discretion in handling personal assignments.
  • Must be adaptable to changing priorities.
  • Ability to communicate clearly and effectively both orally and in writing.
  • Proficiency in Microsoft Office Suite, including Excel, PowerPoint, and Outlook.

We are not a staffing agency. This is a direct hire position subject to a 90-day probationary period. Salary is based on experience, and benefit options begin after 90 days. A background check is required. Proven work experience as an Executive Personal Assistant must be demonstrated.
