A well-established property management company is seeking an on-site manager to supervise a 27-unit residential building.

Key Responsibilities and Requirements:

  • Attend monthly meetings punctually, as required.
  • Submit monthly timesheets by the 30th of each month.
  • Maintain a low vacancy rate, targeting under 5%.
  • Provide a weekly update every Friday before 3:00 PM.
  • Ensure no rental unit remains vacant for more than 45 days.
  • Complete and submit building weekly reports each Friday.
  • Update the delinquency report within 48 hours of receipt from the Accounts Receivable department.
  • For any manual maintenance request forms, enter them into AppFolio and attach the original form to the corresponding work order.
  • Keep the building premises clean at all times.
  • Immediately report any serious issues via email.
  • Ensure the property is safe and properly maintained.
  • Provide access to all maintenance vendors and coordinate schedules to avoid waiting times or additional service fees.
  • Meet with current residents to address repair requests and resolve complaints.
  • Show vacant apartments to prospective tenants.
  • Enter all leasing applications through the designated website to ensure they are recorded in the AppFolio system.
  • Submit all completed leasing files and move-in funds within 72 hours.
  • Send the security deposit unit checklist, accompanied by photographs, to the Property Supervisor no later than three days after a tenant moves out.
  • Create a guest card in AppFolio for every leasing inquiry call received.
  • Email or fax the notice to vacate form to the Leasing Department within 24 hours of receiving it from the tenant and enter the notice into AppFolio.
  • Explain occupancy terms and lease agreements to tenants.
  • Enforce all lease agreement terms, including rent collection, parking and pet restrictions, lease termination, and house rules.
  • Post all required legal notices.
  • Conduct all tenant communications through the AppFolio system to maintain a complete record.
  • Inspect the property twice daily. During these walk-throughs, pick up any trash and report necessary building repairs.
  • Provide a courtesy response to all emails within 24 hours of receipt, even if a full answer is not yet available, to acknowledge the communication and indicate it is being addressed.
