Our client, a prominent international law firm, is seeking to fill a direct hire position for a Client Services Specialist to support its Century City office in Los Angeles. This role requires reporting to the office in person five days per week, with potential overtime to assist with after-hours work events or client activities.

Employment Details

This is a Full Time Direct Hire position. The schedule is Monday through Friday, from 9:00 AM to 5:30 PM Pacific Time. The role is based onsite five days a week. Onsite parking is provided. The position is non-exempt and offers flexibility for overtime work. The annual salary range is $47,000 to $67,000, plus a full benefits package.

Key Responsibilities

  • Manage front desk reception duties, including screening, forwarding, and handling messages for a multi-line phone system.
  • Greet and direct guests, internal staff, and team members to the appropriate offices, conference rooms, or departments. Register visitors and manage badge issuance upon arrival and departure.
  • Provide concierge-level support for office conference rooms. This involves scheduling rooms, arranging catering, coordinating room setup, and managing audio/visual equipment using the internal EMS system.
  • Assist staff and clients with special requests, such as transportation, restaurant reservations, travel, and lodging arrangements.
  • Collaborate with building security to provide active visitor lists, badge details, and ensure continuity with facilities personnel.
  • Restock inventory of refreshments, snacks, and office supplies as required.
  • Process and submit office service-related invoices, expense reimbursements, and time entries as needed.
  • Perform general administrative tasks as they arise, including filing, mail screening, and providing database support.

Required Qualifications

  • Candidates should have a minimum of two years of experience in reception, office services, or an administrative role. Experience in a professional services industry is strongly preferred.
  • Must exhibit outstanding interpersonal and communication skills, both in person and over the telephone.
  • Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint) is required, along with a readiness to learn new software and systems.
  • The ability to excel in a fast-paced office setting is essential.
