Customer Service Representative (Downey, CA)
About This Job
The core function of the Customer Service Representative is to oversee incoming customer leads from initial contact through to the active job phase and final completion, including the issuance of customer invoices. This role involves close collaboration with the Production department to keep the work-in-progress tracking board current and to conduct daily reviews of documentation within all job files. The representative is also tasked with examining project scopes, estimates, and file records to confirm adherence to all program specifications and to guarantee that all completed work is billed correctly.
Primary Responsibilities
- Oversee job file statuses to verify the precision of all related documentation on a daily basis.
- Engage in daily communication with Production teams to confirm that all necessary documentation is obtained at the job site when tasks are performed.
- Generate and evaluate estimates using the project scope and photographs supplied by the Production team.
- Keep the Work in Progress board updated for all ongoing leads and projects.
- Oversee and confirm compliance with all client specifications.
- Sustain clear communication channels with all internal and external parties involved.
- Assess timestamps and additional data points to ensure reporting and key performance metrics are accurate.
- Finalize and inspect job file documentation in preparation for final upload and the audit procedure.
- Conduct internal audits on all projects to confirm the estimate comprehensively covers all work executed.
- Manage all job closure duties, which includes liaising with the accounting department to facilitate correct invoicing.
- Provide support to other company departments as required.
- Contact and inform clients and insurance adjusters regarding the status and developments of each project.
- Collaborate closely with the billing department to facilitate payment collection.
- Ensure all necessary documents receive client signatures.
Education and Experience Requirements
- A high school diploma or GED is mandatory.
- Prior experience in an office or estimating role is advantageous.
- Superior customer service capabilities, strong organizational skills, and excellent verbal and written communication are essential.
- Competence in utilizing a range of digital tools and technologies to perform job duties effectively.
- Background in the restoration, construction, or insurance sector is beneficial.
Physical and Work Environment Requirements
This is primarily a sedentary office-based position. Certain filing tasks may necessitate lifting files, accessing filing cabinets, and bending or using a step stool as needed.
Normal Working Hours
This is a full-time role. Standard working hours fall between 8:00 a.m. and 5:00 p.m., Monday through Friday.
