RESPONSIBILITIES
Effectively and reliably manages all filing systems.
- Upholds organization and filing systems within the office and file storage areas.
- Generates and arranges various document types as required.
- Reviews incoming paperwork for correctness and readability, seeks clarification when needed, categorizes appropriately, and files within the correct system.
- Locates and retrieves information from files upon request.
- Performs additional filing duties as required.
Proficiently handles essential administrative duties for the entire department.
- Guarantees all visitors are greeted warmly and that reception areas and conference rooms remain tidy, well-supplied, and professional at all times.
- Helps manage the main office telephone line and its voicemails.
- Schedules appointments and dispatches calendar invitations. Compiles the new employee roster.
- Manages office supply stock, prepares orders for HR Director approval, and places approved orders with authorized vendors. Coordinates orders and deliveries with external suppliers, such as those for service award pins and name badges.
- Initiates and oversees all departmental shipping and mailing requirements.
- Prepares materials and documents for training sessions and meetings.
- Assists the Human Resources Team in gathering forms, data, and reports for projects.
- Provides support during audits of department personnel files and compliance.
QUALIFICATIONS
- Education: High School Diploma or GED is required.
- Must be at least eighteen (18) years old.
- Desired Experience: A minimum of one year in an Office Clerk or similar role; prior HR experience is not necessary.
- Superior interpersonal and customer service abilities.
- Powerful verbal and written communication skills.
- Required License: A current California Driver License with a satisfactory driving record from the Department of Motor Vehicles.
Job Type: Full-time
Pay: $18.04 to $29.00 per hour
