The Data Entry Specialist holds a vital position in ensuring the precision, consistency, and security of clinical and patient information for the organization. This role involves the correct input, validation, and maintenance of health-related data within electronic health record platforms, research databases, or other clinical information systems. ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Precisely input and modify patient demographic details, clinical information, and treatment records into the EHR system.
  • Assemble, confirm accuracy, and organize information to prepare STD and PrEP data for entry into the DHSP REDCap database.
  • Examine source documents for thoroughness and correctness prior to data entry.
  • Work alongside clinical personnel and administrative teams to acquire missing or ambiguous information.
  • Conduct routine data validation and quality assurance reviews to detect and rectify mistakes or discrepancies.
  • Assess patient records to establish eligibility for inclusion in the PrEP database. Manage the PrEP database.
  • Uphold confidentiality and comply with HIPAA regulations and organizational data security protocols.
  • Produce data reports and summaries as required by clinicians or managers.
  • Help in sustaining data entry protocols and documentation for compliance and audit preparedness.
  • Take part in staff meetings and training sessions concerning data systems, compliance, and process enhancement.

OTHER DUTIES MAY BE ASSIGNED TO MEET BUSINESS NEEDS.

REQUIREMENTS:

Training and Experience:

  • High school diploma or equivalent (GED).
  • At least one year of experience in data entry, medical records, or administrative support within a healthcare or clinical setting.
  • Competence in Microsoft Office applications and prior use of EHR systems, with a preference for eClinicalWorks.
  • Proficient typing abilities with a strong emphasis on accuracy and detail.
  • Fundamental comprehension of database structures.
  • Prior experience inputting data into a database.

Knowledge of:

  • Electronic health records and data reporting.
  • Basic medical terminology and awareness of HIPAA rules.
  • STD and PrEP/PEP information.

Ability to:

  • Communicate clearly with healthcare providers, colleagues, and external vendors. Must be orderly and detail-focused.
  • Exhibit robust analytical and written communication skills for preparing thorough and precise program reports and documentation.
  • Structure workload and procedures efficiently.
  • Enter data promptly with few errors in a fast-paced setting.
  • Safeguard patient confidentiality.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

This is mainly an office-based role that entails only infrequent bending, reaching, stooping, and lifting of office supplies weighing up to 25 pounds. Daily tasks involve operating a personal computer to input, view, and modify text and graphics both on-screen and on paper.

SPECIAL REQUIREMENTS:

  • Must hold a valid California driver’s license, provide proof of automobile liability insurance, and have access to a personal vehicle for work-related duties.
