Role Overview

This role provides specialized administrative support to both the Human Resources Director and the staff of SCTCA. The coordinator is responsible for planning and managing all events, training sessions, and meetings organized by the HR Department, with an emphasis on strategic planning. Additional duties include managing vendor accounts and contracts across all departments, providing employee customer service, and conducting financial reconciliations.

Primary Responsibilities

  1. Oversee the complete planning and execution of all employee events, meetings, and trainings hosted by Human Resources.
  2. Design invitations, arrange catering, manage attendee confirmations, and monitor related budgets.
  3. Coordinate and manage all processes related to employee merchandise.
  4. Serve as the primary contact for vendors and contracts, monitor account statuses, and submit payment requests.
  5. Process all departmental travel and per diem authorization requests.
  6. Reconcile credit card statements with corresponding receipts.
  7. Facilitate requests for new corporate credit cards and cell phones.
  8. Develop engaging events to enhance staff morale, promote work-life balance, and contribute to a positive organizational culture.
  9. Organize event logistics within designated timelines and budgets, ensuring compliance with company policy and employment law.
  10. Deliver outstanding service to employees, vendors, job applicants, and other contacts.
  11. Maintain inventory of office supplies, break room items, forms, and promotional materials, placing restocking orders as necessary.
  12. Assist in coordinating organization-wide events, meetings, and trainings, which may include securing venues, overseeing room configuration, ordering food, and recording attendance.
  13. Perform additional tasks and projects as assigned by the company.

Required Qualifications

Education:

Completion of a minimum two-year college program or an Associate\'s degree is required, with a preference for studies in human resources management. This must be coupled with two years of hands-on experience performing the core duties of this position.

Experience:

A minimum of two years of prior Human Resources experience in conjunction with relevant education, or at least one year of experience within an HR department supplemented by formal HR education. Previous customer service experience is desirable.

Certifications and Licenses:

A Human Resources certificate is preferred. A valid California Driver\'s License with a driving history acceptable to the organization\'s insurance provider is mandatory.

Knowledge and Skills:

Advanced computer proficiency is essential. Must be highly skilled in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint. The ability to handle sensitive information confidentially is critical. Candidates must demonstrate meticulous attention to detail and possess superior organizational abilities. A working knowledge of federal laws applicable to human resources is required. Familiarity with Native American history, culture, and political landscapes is considered an advantage.

Physical Demands:

The role primarily involves sedentary work at a desk for prolonged periods. Occasional lifting of items weighing up to 25 pounds may be required. The work environment is chiefly indoors in an office setting.

Employment Conditions:

Final candidates must pass a comprehensive background investigation, including Live Scan fingerprinting, and a pre-employment drug screening.

The Southern California Tribal Chairmen\'s Association (SCTCA) is a multi-service non-profit corporation founded in 1972. It represents a consortium of 25 federally-recognized Indian tribes located in Southern California. SCTCA\'s principal mission is to address the health, welfare, safety, educational, cultural, economic, and employment needs of its member tribes\' enrolled Indians, including those in urban areas of San Diego County. The association is governed by a board of directors composed of tribal chairpersons from each member tribe.
